Account Information

When you register, we collect your name, email address, and organizational affiliation. Instructors and administrators may also provide role and program details. You may sign in via Google, Microsoft, or email and password.

Student Education Records

In the course of using the platform, the following student data may be collected and stored:

• Assessment scores and completion records
• Clinical shift logs and hours
• Skill competency tracking data
• Preceptor feedback and evaluations

Usage Data

We automatically collect certain information when you access the Service, including IP address, browser type, pages visited, and timestamps. This data is used to maintain, improve, and secure the platform.

We use the information we collect to:

• Provide, operate, and maintain the Enhance EMS platform
• Generate AI-powered patient scenarios and study recommendations
• Track student progress, skill development, and clinical hours
• Communicate with you about your account, updates, and support requests
• Improve our platform based on aggregated, de-identified usage patterns
• Ensure security and prevent unauthorized access

3. AI-Powered Features & Third-Party AI Providers

Enhance EMS uses the OpenAI API (primary) and Google Gemini API (fallback) for AI-powered features. We are committed to protecting your data when using these services:

• Scenario Generation: Only clinical parameters (e.g., complaint type, acuity level, demographic settings) are transmitted to AI providers. No student data is included in these requests.
• Student Progress Summaries: The study recommendations feature transmits only de-identified performance scores. No student names, email addresses, student IDs, or other personally identifiable information are transmitted to any third-party AI provider.
• No AI Training on Your Data: Per OpenAI's API Data Usage Policy, data submitted via the API is not used to train their models. Google's Gemini API operates under similar enterprise data protections.

4. We Never Sell Your Data

We do not sell, rent, or trade your personal information or student education records to third parties — ever. This is a core commitment of our platform.

5. Data Sharing & Third-Party Services

We may share limited data with the following categories of service providers, solely to operate and secure the platform:

• Cloud Hosting: Infrastructure providers that store and process data on our behalf
• Authentication: Identity providers (Google, Microsoft) when you choose to sign in via those services
• AI Providers: OpenAI and Google, as described in Section 3 above, with strict data minimization
• Analytics: Aggregated, de-identified data may be used to understand platform usage

All service providers are contractually obligated to protect your data and use it only for the purposes we specify.

6. FERPA Compliance

Enhance EMS is designed to support compliance with the Family Educational Rights and Privacy Act (FERPA). Student education records are accessible only to authorized instructors and administrators within the student's institution. We act as a "school official" with a legitimate educational interest under FERPA and will:

• Use student education records only for the purposes authorized by the institution
• Not disclose student records to unauthorized third parties
• Support institutions in responding to student data access requests
• Maintain appropriate administrative, technical, and physical safeguards

7. Data Security

We implement enterprise-grade security measures to protect your information:

• Encryption of data at rest and in transit (TLS 1.2+)
• Multi-factor authentication (MFA) support
• Role-based access controls
• Built-in safeguards to prevent students from entering personally identifiable patient information
• Regular security reviews and monitoring

While no system is 100% secure, we take every reasonable precaution to protect your data.

8. Data Retention & Deletion

We retain your data for as long as your account or your institution's account is active, or as needed to provide the Service. Upon request from an authorized institutional administrator, we will delete or de-identify student records within 30 days. You may also request deletion of your personal account data by contacting us.

9. Cookies & Analytics

Enhance EMS uses essential cookies to maintain your session and authentication state. We also use Google Analytics (Google Tag Manager / gtag.js) to collect aggregated, anonymized usage data about how visitors interact with our marketing site. Google Analytics may use cookies to distinguish unique users and track page views. No personally identifiable information is sent to Google Analytics. 10. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
